How to Plan Ice Cream Catering for Your Wedding — A Complete Guide

How to Plan Ice Cream Catering for Your Wedding — A Complete Guide

You've chosen the venue. You've picked the flowers. You've agonized over the seating chart, the centerpieces, and whether to have a first dance.

And now someone — maybe your maid of honor, maybe your soon-to-be spouse, maybe that little voice in the back of your head that always knows what's right — is asking the question:

What if we did ice cream at the wedding?

The answer is yes. It should always be yes.

Ice cream catering has become one of the most beloved wedding trends in Charleston and across the South — and for good reason. It's joyful, it's memorable, it's delicious, and it's the kind of surprise that makes guests talk about your wedding for years. The moment Wholly Cow's retro ice cream trailer or vintage scoop cart rolls up, every single person at your reception becomes a kid again.

Here's everything you need to know to plan it perfectly.

Why Ice Cream Works So Well at Weddings

It's universally loved. Unlike cake, which some guests skip, or a dessert buffet that can feel overwhelming, ice cream is something almost everyone will line up for. It transcends ages, dietary preferences (with sorbet options for vegan and dairy-free guests), and the eternal debate over chocolate vs. vanilla. Ice cream just makes people happy.

It creates a moment. When the ice cream cart or trailer appears — especially if it's a surprise for your guests — it creates a genuine, organic moment of joy. Guests gather, they laugh, they choose their flavors, they share bites. It's interactive in a way that a plated dessert simply cannot be.

It's a conversation piece. "Remember when Wholly Cow showed up with their trailer Suzy?" People talk about it. We've heard from couples years later who say their guests still bring it up.

It photographs beautifully. A scoop of Charleston Sea Turtle on a waffle cone with the wedding party in the background? A table full of colorful sundae toppings? Your guests' faces when the cart rolls in? These make for some of the best candid wedding photos you'll ever have.

It pairs with everything. Ice cream works as a standalone dessert, as a companion to wedding cake, or as a late-night snack during dancing. You can serve it during cocktail hour, at the reception, after cake cutting, or as a grand finale at the end of the evening.

Choose Your Catering Style

The first decision is how you want to serve the ice cream. Wholly Cow offers two iconic options:

Awesome Alice — The Scoop Cart

Awesome Alice is our charming, vintage-style ice cream cart — perfect for intimate weddings, garden parties, cocktail hours, and indoor venues where a full truck isn't practical. Alice brings the full Wholly Cow experience in a more compact, elegant form. She's beautiful, she photographs wonderfully, and she fits in spaces where our trailer can't go. Think waterfront venues, historic mansion grounds, rooftop receptions, and indoor ballrooms.

Best for: Intimate weddings (under 150 guests), indoor venues, cocktail hour service, garden parties, tight spaces

Suzy — The Retro Mobile Ice Cream Trailer

Suzy is our beloved retro mobile ice cream parlor — a classic, vintage-style ice cream truck that turns any wedding venue into an instant party. Suzy is the showstopper. When she sets, the energy shifts. People come running — and they're smiling before they've even ordered. Suzy is fully equipped for larger events and brings the full theatrical experience that makes wedding ice cream catering so memorable.

Best for: Larger weddings (100+ guests), outdoor venues, evening receptions, couples who want maximum impact and "wow" factor

Timing: When to Serve Ice Cream at Your Wedding

One of the most common questions we get is: when during the reception do you serve the ice cream? The honest answer is: it depends on your vision. Here are the most popular approaches:

Option 1: Cocktail Hour Treat

Surprise your guests during cocktail hour — before dinner, while the wedding party is doing photos. Guests arrive to find Awesome Alice waiting with a full lineup of Wholly Cow flavors. It's an unexpected, delightful welcome.

Pros: Guests aren't full yet, high energy, gives something for guests to do while you're away for photos  |  Cons: Can compete with cocktail appetizers

Option 2: After Dinner, Before or Instead of Cake

The most popular timing. After dinner service, the ice cream cart or trailer appears — either alongside the wedding cake or as the primary dessert. This is when everyone is in full celebration mode and ready for something sweet.

Pros: Peak celebration energy, natural flow after dinner, works beautifully alongside cake  |  Cons: Guests may be full from dinner — consider lighter scoops or sorbet options

Option 3: Late Night Surprise

Save Suzy for the end of the evening — a 10pm surprise for dancing guests. This is a brilliant move for long receptions or the After Party. Energy may be flagging, dancing has been going for hours, and suddenly — ice cream. The crowd goes absolutely wild.

Pros: Massive impact, incredibly memorable, re-energizes the party for a final push  |  Cons: Requires keeping it secret, some guests may have left

Option 4: The Full Dessert Experience

Forego traditional wedding cake entirely and make Wholly Cow the centerpiece of your dessert experience. Set up a sundae bar with toppings, let guests build their own, and make dessert an event rather than an afterthought.

Pros: Unique, Instagram-worthy, no cake-cutting logistics  |  Cons: Not traditional — though in Charleston, that's increasingly a pro

Selecting Your Flavors

Booking Your Wedding Ice Cream Catering

  1. Reach out early. Spring and fall are peak wedding seasons in Charleston — and peak seasons for Wholly Cow catering. We recommend booking as early as possible, ideally 4–6 months in advance for weekend dates.
  2. Tell us your vision. Date, venue, guest count, timing, and any flavor preferences you have. The more we know, the better we can help.
  3. Secure your date with a deposit. A non-refundable deposit holds your date. This gets applied to your total.
  4. Choose your flavors. We'll work with you to finalize flavor selection as your date approaches.
  5. Day-of magic. We handle everything — delivery, setup, service, and breakdown. All you have to do is enjoy your wedding day.

Real Talk: Tips From Experience

Tell your photographer. Make sure your wedding photographer knows the ice cream is coming. The moment the cart or trailer appears — and especially the moment you and your new spouse get your first scoop together — those are photos you'll want forever.

Consider your venue logistics. If you're at an indoor venue, Amazing Alice (the cart) is likely the better choice. Outdoor venues with good access are perfect for Suzy (the trailer). Let us know your venue and we'll advise.

Don't keep it a secret from the caterer. Make sure your venue or catering manager knows the ice cream is coming so they can coordinate timing and space.

Think about weather. Charleston in June is beautiful — and hot. Ice cream in summer heat moves fast. Plan for the warm months and make sure guests are served quickly. Suzy, our trailer (or any food truck or trailer) looks cool and is awesome at a wedding, but if guests have to be in the rain to get food, probably not as cool.

Cones. They photograph nicely, are a cool option, but messy. White wedding gowns, tuxedos, suits, white shirts and dresses don't look good with melted very chocolate, banana pudding or wild strawberry as an accessory stain.
